Privacy Policy
Your information, how it is used, and the choices in your account.
Draft for review · Not yet in effect1. What this policy covers
This draft describes information used by the NicePerks website and workplace platform. Employers provide and manage some of that information when they enroll employees and run their workplace programs. An employer’s own privacy notice may also apply.
2. Information in your account
Account information includes your name, email address, sign-in credentials, and preferences. Employee records may also include a preferred name, department, work location, employment dates and status, and birthday month and day.
The platform records activity such as points transactions, reward requests, saved perks, recognition, survey participation and responses, notifications, and account-data requests. The information available depends on the features your employer uses and what you choose to submit.
3. How information is used
NicePerks uses account and workplace information to sign you in, check eligibility, show the benefits available to you, process reward requests, deliver notifications, and provide employer reporting. Account and activity records also support troubleshooting and the investigation of misuse.
4. Who can see workplace information
Authorized employer users can access employee information according to their workspace permissions. Recognition and profile information may appear to coworkers through the features your employer uses. Review your profile settings, including birthday visibility.
Named survey responses are linked to employees and available to authorized employer users. Confidential survey answers are separated from participation records; grouped results are released after the survey closes and the minimum response threshold is met. Written comments are withheld from those grouped results. Check the mode displayed on the survey before answering.
5. Cookies and saved preferences
NicePerks uses session cookies for features such as sign-in and request security. Choosing to stay signed in can also store a remember-me cookie. Blocking these cookies may prevent account features from working.
The turnover calculator runs in your browser. Choosing “Save on this device” stores a copy of the estimate in that browser’s local storage. You can remove that copy from the calculator. Anyone using the same browser profile may be able to open it. Motion preferences can also be stored in your browser.
6. Your account controls
You can update profile information and notification preferences in your account. Employees can use the account-data page to request an export or erasure. Export files are available for a limited time. Erasure requests are reviewed by authorized employer users, and some records may remain after personal details are removed.
Contact your employer’s administrator about workplace records or eligibility. The final policy will also provide a direct NicePerks contact for privacy questions and requests.
7. Providers and external offers
Operating NicePerks involves services such as hosting and email delivery. The final policy must identify the relevant provider categories, the information they receive, and their purposes. When you follow an offer to another business’s website, that business’s privacy policy applies to information you give it.
8. Retention and protection
NicePerks uses account permissions and password protection to limit access. Specific retention periods, backup deletion practices, and the handling of closed employer accounts must be confirmed before this policy takes effect. No fixed deletion period is promised in this draft.
Before publication
Confirm the operating entity and privacy contact; employer and NicePerks responsibilities; production hosting, email, analytics, and other providers; retention periods; any sale, sharing, or advertising use of data; countries where data is processed; and the rights and request procedures required where the service operates. Review legal bases, international transfers, and children’s access where applicable. Add an effective date after legal review.
